Martin Luther King Jr. Holiday - OAKS Availability
The State of Ohio has designated Monday, January 21, 2008, as a state holiday, Martin Luther King Jr. Day. Due to the holiday, the OAKS Financials (FIN) and Human Capital Management
(HCM) systems are available to users, but neither the OAKS Help Desk nor the OAKS staff is available for functional support. Agencies will be able to send interface files to the OAKS HCM FTP
site and the OAKS Batch Team will be running a HCM nightly batch cycle. There will not be a Financials (FIN) batch as well as the FIN FTP site will not be available. |

Billing Module Launched Today
Today, OAKS accomplished its fifth release by launching the
OAKS Billing Module. The following Department of Administrative Services programs will utilize the new OAKS billing functionality:

The OAKS Billing Module will enable users to create bills, print invoices and correct invoices. Once a bill is created, the OAKS Billing Module automatically routes an invoice into
OAKS Accounts Receivable as a pending item. In addition, revenue created from Billing is posted directly from the Billing Module to the OAKS General Ledger.
The purpose of the OAKS project is to implement an enterprise resource planning (ERP) system to improve the efficiency and effectiveness of the administrative processes of the State of
Ohio. Completion of the entire system is set for July 2008.

Careful Planning Ensures Success of OAKS Financials Release The Ohio Administrative Knowledge System (OAKS) announced earlier this week it had successfully deployed its third and, by far, largest release on July 2, 2007, the first day of the new State
Fiscal Year. Known as FIN Release 3, this implementation included five areas of State government’s financial business functions (Purchasing, General Ledger, Accounts Receivable,
Accounts Payable and Enterprise Performance Management) and impacted the State’s financial business processes, affecting more than 12,000 State employees. Yet, despite the enormity and
complexity of FIN Release 3, the OAKS program management office (PMO) reports, so far, a very high level of user satisfaction with the system and significantly fewer user complaints than were
logged during Release 1 in December 2006.
The facility with which FIN Release 3 was deployed was no accident, however. “It was the result of careful and deliberate planning,” said OAKS Executive Program Manager
David L. White. In order to ensure the seamless transition from various old and fragmented business applications and the State’s Central Accounting System (CAS), the OAKS PMO offered
a comprehensive program of training and on-going customer support. Formal training, consisting of web-based, instructor-led and self help courses, began May 1 and continues through the end
of July. Once formal training ends, ongoing help, in the form of frequently updated, detailed job aids, is available at http://oakstraining.ohio.gov. |

OAKS Reaches Another Milestone!
OAKS Financials is live! As of 7:00 am Monday, July 2, 2007, State of Ohio employees will use OAKS, the Ohio Administrative Knowledge System, a statewide enterprise resource planning (ERP) application,
to manage financial business processes for the first time. This major milestone is the third and largest of six software releases planned for the system. Implementation of the OAKS Financials
module enabled the Office of Budget and Management (OBM) to retire its 22 year old Central Accounting System (CAS) on Friday, June 29. When asked to describe what this implementation means to
the state, OAKS Executive Progam Manager David L. White said , "Release three of the OAKS application is a critical component that will enable the State to maximize the benefits of implementing
an ERP system. Implementation of this release has been an overwhelming success. The financials release is the culmination of more than two years of planning, design, training and implementation
and the system is now being used by thousands of employees across the state". |
